How to conquer work overload while being kind to yourself


Hi ladies!

Have you ever found yourself overwhelmed by work, reaching a point where you feel completely stuck and unsure how to navigate the situation? I can relate. It seems to happen to me about twice a year, where the stress gradually builds up until it becomes unbearable. During these moments, all my bad habits resurface out of nowhere: I feel depressed, neglect self-care, become easily distracted and irritated with my children, and experience sleepless nights. It's as if my entire being short-circuits, making it even harder to tackle the work-related challenges at hand.










This past week was one of those weeks where the work hours, evenings, and even weekends were insufficient to keep up with the mounting tasks. Feeling on the verge of tears, I contemplated giving up, it was a complete mess...

Work overload is an all-too-common challenge faced by many professionals. The pressure to meet deadlines, the constant influx of tasks, and the expectations from higher-ups can easily lead to a sense of being overwhelmed. In this blog, I aim to reflect on this issue and explore strategies to prevent such situations from occurring. Join me as we delve into tips for managing your workload, prioritizing effectively, delegating tasks , optimizing work processes, setting boundaries, and practicing self-care.

Problem 1: Prioritize

The first step in overcoming work overload is to assess your current workload. One common mistake I often make is struggling to prioritize effectively within a work environment where different priorities ask for my attention simultaneously. Each manager has their own set of priorities, and aligning them with your own can be challenging. It becomes a dilemma that adds to the mounting stress, leaving me unsure how to proceed.

It all comes down to taking time to understand your boss's priorities and align them with your own. While it may not always seem urgent or crucial from your perspective, supporting your boss's priorities is crucial for your own career growth and success. It's your job to take away your boss's stress as first priority. 

Do communicate openly with your boss about your workload and seek clarity on their expectations. When you allocate your precious time to his/her priorities, you need to inform him that it will affect your own priorities and ask for his approval on that. This will enable you to loosen your own priorities a bit and will make it more easy to when prioritizing tasks and managing your time effectively.

Problem 2: Communicate

When overwhelmed with work, it's vital to communicate your concerns to your boss. Don't be like me, trying to solve problems on your own until it's too late. Schedule a meeting to discuss your workload, explain the challenges you're facing, and propose potential solutions. It's essential to be honest about your limitations and seek support or assistance when needed.

Overcoming the fear of asking for help or communicating with your boss effectively can be a journey in itself. It has been my life-long challenge that I face in every job that I had so far. Here are a few tips that can help to address this challenge:

Recognize that asking for help is not a sign of failure but a demonstration of your commitment to finding the best solutions for your team and yourself.

Practice assertive communication and build your confidence. Remember, your concerns are valid, and its your boss's role to support you, just like it's your role as a manager to do that for your team members. 

Problem 3: Delegate

Delegation is a crucial skill for any professional facing work overload. Identifying tasks that can be delegated to team members or colleagues is essential. While I tend to isolate myself and take on all the problems single-handedly when stress arises, I need to learn how to delegate better.

Here are some tricks and tips to myself for mastering the art of delegation:

Assess the strengths and abilities of your team members and assign tasks accordingly. Put it in your head that delegating tasks not only lightens your workload but also empowers your team and fosters a sense of collaboration. 

Clearly communicate your expectations and provide any necessary guidance or resources to ensure successful task completion.

And if your team capacity is not enough to solve your problem, you need to pitch for extra capacity in your team. 

Problem 4: Work Processes

Sometimes, it's easy to resist adopting new technologies or tools. Sticking to old-fashioned methods, like a simple excel file, that is me. However, in today's demanding work environment, where multitasking and efficiency are crucial, embracing technology and streamlining work processes is essential. I will have to step outside my comfort zone if I want to solve my problems and grow professionally. 

Start small by exploring a single tool or software that can automate routine tasks. Gradually familiarize yourself with its functionalities and benefits. I recently started using Planner, a Microsoft 365 tool. While I was writing this blog, I discovered a whole training page with all kind of usefull tools from Microsoft, to help you to become more efficient at work. 

Problem 5: Set Boundaries and Practice Self-Care

When work overload strikes, it tends to seep into our personal lives, affecting our well-being and relationships. I feel so sorry for my children, when they need to bare with their stressed mother. They suffer too, and I show them a bad example the might be copied by them in their adult life. Establishing clear boundaries and prioritizing self-care activities are vital for maintaining overall well-being. If you dont want to do it for yourself, do it for your kids and prevent them to have the same burden as you. 

Here are some simple tips:

Define specific working hours and avoid exceeding them regularly. 

Communicate these boundaries to your colleagues and managers, ensuring they understand your availability and respect your personal time.

Engage in activities that help you relax and recharge outside of work. This could include hobbies, exercise, spending time with loved ones, or pursuing personal interests. Prioritize self-care as an essential part of your routine.

Conclusion:

In the fast-paced world of work, stress and overload can easily consume us if we don't address the underlying root problems. By prioritizing effectively, communicating openly, delegating tasks, optimizing work processes, setting boundaries, and practicing self-care, we can regain control and conquer the challenges that come our way.
